Equipment Inventory

Access Equipment from More > Operations. Add each piece of machinery and equipment with:

  • Name and type — tractor, baler, sprayer, ATV, truck, or custom type
  • Make and model — manufacturer and specific model
  • Year — model year
  • Serial number or VIN — for insurance and warranty records
  • Purchase price — original cost for depreciation tracking
  • Current estimated value — updated value for insurance purposes
  • Purchase date
  • Notes — warranty info, modifications, or other details
The free tier allows up to 3 pieces of equipment. A Pro or Premium subscription removes this limit for unlimited equipment tracking.

Maintenance Scheduling Pro

With a Pro subscription, you can schedule and log maintenance tasks for each piece of equipment. Maintenance records include:

  • Service type — oil change, tire rotation, blade sharpening, inspection, or custom
  • Service date — when the maintenance was performed
  • Hours or mileage at service — for interval-based scheduling
  • Next service due — set a date or interval for the next scheduled service
  • Cost — link to an expense entry for this maintenance job
  • Service provider — who did the work, linked to Vendors & Suppliers
  • Notes — parts replaced, observations, or other details

When a maintenance due date approaches, Barnsbook adds it to your task list and can send a push notification so you don't miss a service interval.

Vendors & Suppliers Pro

The Vendors & Suppliers screen (More > Operations) is your contact list for everyone you do business with — feed stores, implement dealers, veterinarians, seed suppliers, and service providers. For each vendor you can record:

  • Business name and contact person
  • Phone number and email
  • Address
  • Vendor type — feed, vet, equipment, seed, custom work, or other
  • Notes — account numbers, preferred products, or terms

When logging expenses, you can link to a vendor from this list instead of typing the name each time. This makes filtering and reporting by vendor much easier. Vendor management requires a Pro or Premium subscription.

Maintenance Expenses

Each maintenance log entry can be linked to an expense in the Expenses tab, automatically filed under the "Repairs and Maintenance" Schedule F category. This keeps your financial records accurate and your tax preparation straightforward.
